The Software Behind a Package Forwarding Business

Customer cabinet, admin panel, warehouse scanning, payments, notifications and apps — the software a package forwarding business needs to grow.

A package forwarding business moves boxes, but it runs on information. Every parcel has an owner, a tracking number, a weight, a declared value, a status and a price. Multiply that by hundreds or thousands of parcels a month, and the quality of your software decides whether the business feels effortless or chaotic — for your customers and your staff.

Here is what a forwarding business needs, piece by piece.

1. A customer cabinet

This is the product your customers actually see. It should let them:

  • sign up in a minute and immediately receive their personal US address;
  • declare parcels — tracking number, store, contents and value, with an invoice uploaded as a file or a link;
  • track every parcel through clear statuses, from "expected" to "at the warehouse", "on a flight", "arrived" and "ready for pickup";
  • see prices before they pay, with a calculator that uses the same rules as the warehouse;
  • pay online, keep a balance and see their transaction history;
  • choose where to collect parcels, add trusted recipients and request extra services such as repackaging or photos.

It must work well on phones and in the customer's language. Most of your customers will use it on mobile.

2. An admin and operations panel

Behind the scenes, your team needs one place to run the business:

  • search any parcel by tracking number, customer, phone or email;
  • build flights, assign parcels and prepare documents and manifests;
  • manage pricing, customers, support conversations and problem parcels;
  • see finance — what was charged, what was paid, profit per flight.

Without this, operations live in spreadsheets and chat messages, and mistakes become expensive.

3. Warehouse scanning

The warehouse is where speed and accuracy matter most. A barcode scanner app on handheld devices lets staff:

  • receive parcels by scanning the carrier's label and matching it to the customer;
  • weigh and shelve them;
  • load flights by scanning each box, so nothing is left behind or sent by mistake;
  • run stock checks.

Scanning turns hours of manual checking into minutes and gives you a clear record of who handled what, and when.

4. Payments, loyalty and referrals

Growth features matter more than they seem at first:

  • online card payments and balance top-ups make paying effortless;
  • cashback tiers reward your most active customers;
  • referral programs turn happy customers into your cheapest marketing channel.

5. Notifications and help

Customers want to know what is happening without asking. Automatic email and messenger notifications at each status change, in the customer's language, cut support requests dramatically. A searchable help centre answers the common questions — prohibited items, customs limits, delivery times — before they reach your team, and brings in visitors from search engines too.

6. Mobile apps

Native iOS and Android apps with push notifications keep customers close: they get an alert the moment a parcel arrives and can track or pay in a couple of taps. Apps also make your brand look established.

Build, buy or license?

Building all of this from scratch takes an experienced development team many months, and the work never really ends — carriers change APIs, customs rules change, customers expect new features. For most new operators the better option is to use a platform that is already running in production.

The Pesoto platform

Pesoto built and operates its own platform, used every day by customers and warehouse staff in Ukraine and Moldova. It includes:

  • a customer web cabinet in several languages;
  • an admin and operations panel with flights, pricing, users and finance;
  • an Android warehouse scanner app for receiving, checking and loading flights;
  • payments, cashback and referrals;
  • a help centre and multilingual notifications;
  • native iOS and Android apps.

The platform comes with the Pesoto franchise, and it is also available on its own for businesses that already run forwarding operations. Request a demo and the terms.
